Volunteer Descriptions 2010-2011

CCS H&S Officer Job Descriptions

Below are brief descriptions of the many volunteering opportunities which are an integral part of our Home & School Association.  There are many opportunities throughout the year for you to get involved.   These activities benefit all of our children and would not exist without your help and commitment.  Consider helping out in a variety of events/activities.  It is a wonderful opportunity to meet new members of the Corpus Christi School Community and to have a positive impact on your child’s education.

 

To ease the planning and preparation of these events, each category is headed by the coordinator(s).  The coordinator(s) will provide guidance and support to all the chairpersons within the designated category.  They mentor new chairpersons and provide support to existing chairpersons.  Each event/activity is headed by two chairpersons.  Committee members support the chairperson(s) and provide assistance during the event.

 

HOMEROOM PARENT:  (2 per classroom)

Homeroom parents’ primary responsibility will be organizing and carrying out the Emergency Phone Chain for their classroom.  They will also be responsible for organizing, running and recruiting volunteers for class holiday parties and other events as requested by the teacher.  Assist H&S during Major Fundraiser-class gifts.

 

 

HOSPITALITY SERVICES-1 COORDINATOR:  Provide guidance and support to the below committees.  Update committee binders, as needed.  Provide updates to H&S VP for Board Meetings, as requested.

 
NEW FAMILY WELCOME – once a year-end of August

CHAIRPERSON:  Organize and set-up event (purchase drinks/decorations).  Arrange a contact family for each new family.  Send correspondence to each family.  Submit expenses to H&S Treasurer.

FOYER DECORATIONS-monthly

CATHOLIC SCHOOLS’ WEEK

CHAIRPERSON:  Create a display or poster of CCS students or events based on the theme for Catholic Schools Week.  Set-up a table at the Open House held during Catholic Schools’ week.  Include past CCS yearbooks and Kindergarten registration information.  Highlight the school and answer any questions.

TEACHER APPRECIATION/BIRTHDAYS-monthly

CHAIRPERSON:  Keep track of birthdays and distribute personalized cards/monetary gifts from H&S.  Assist w/ Teacher Appreciation Day.

CHAIRPERSON:  Check with teachers in June, to determine Book Sox order for the following school year.  In the summer, place the Book Sox order.  Send out a flyer advertising the event.  Coordinate volunteers to help during sales.  At least two days prior to the event, request a cashbox from the H&S Assistant Treasurer.  Submit income and expenses to H&S Treasurer.

CHAIRPERSON:  Keep a tally of incoming labels.  Submit to vendor for rebates.  Send out flyers requesting labels from parents.  Submit income to the school principal.

            KID STUFF BOOKS-early in school year

CHAIRPERSON:  Order, distribute and track sales of books.  Submit income and expenses to H&S Treasurer.

CHAIRPERSON:  Contact vendors and organize event.  Send out flyers advertising the event.  Organize parent volunteers.  At least two days prior to the event, request a cashbox from the H&S Assistant Treasurer.  Submit income and expenses to H&S Treasurer.

WRAPPING PAPER FUNDRAISER-Late Fall

CHAIRPERSON:  Order and distribute fundraiser packets.  Collect orders and provide order info to vendor.  Submit income and expenses to H&S Treasurer.  Distribute orders. 

                        COMMITTEE:  Assist during distribution of 
                        orders (1 day-few hours)

 

MARKET DAY-one Saturday morning/month

CHAIRPERSON:  Send out flyers advertising the event.  Organize parent volunteer schedule.  Enter orders as needed.  Assist during delivery, inventory and sorting of food.  Track family tuition credit.  Submit income and expenses to H&S Treasurer.

COMMITTEE:  Assist chairperson during sorting and distribution of orders (1 Saturday morning every other month for 1-2 hours)

 

MARKET DAY PIZZA FUNDRAISER

CHAIRPERSON:  Order and distribute fundraiser packets.  Collect orders and provide order info to vendor.  Submit income and expenses to H&S Treasurer.  Distribute orders.

7TH/8TH GRADE DANCES (4x/yr) and 5TH & 6TH 
            GRADE SOCIAL-once a year

CHAIRPERSON:  Organize DJ, entertainment, decorations and food.  Send out a flyer advertising the event.  Organize parent volunteers.  At least two days prior to the event, request a cashbox from the H&S Assistant Treasurer.  Submit income and expenses to H&S Treasurer.

3RD & 4TH GRADE SOCIAL-once a year

CHAIRPERSON:  Organize entertainment, decorations and food.  Send out a flyer advertising the event.  Organize parent volunteers.  Submit income and expenses to H&S Treasurer.

FAMILY BINGO BASH-once a year

CHAIRPERSON:  Organize entertainment, decorations and food.  Send out a flyer advertising the event.  Pre-sell the event and make a list of paid families.  Order bingo supplies.  Set-up a raffle with prizes.  Sell raffle tickets during school hours & during the event.  Organize parent volunteers.  At least two days prior to the event, request a cashbox from the H&S Assistant Treasurer.  Submit income and expenses to H&S Treasurer.

COMMITTEE:  Assist chairperson as needed, from set-up to clean-up.  Help choose and shop for raffle prizes.

 

MUFFINS WITH MOM-once a year-7:30-8:30 AM, October and DONUTS WITH DAD-once a year-7:30-8:30 AM, April

CHAIRPERSON:  Send out a flyer advertising the event.  Pre-sell the event and make a list of paid families.  Order food and drink.  Organize parent volunteers. Take and distribute parent/student pictures.  Submit income and expenses to H&S Treasurer.

CHILDREN’S CHRISTMAS BAZAAR-early December

CHAIRPERSON:  Organize games/activities, select/order prizes and Secret Santa items, coordinate bake sale items/snacks, and schedule volunteers.  Send out a flyer advertising the event.  At least two days prior to the event, request a cashbox from the H&S Assistant Treasurer.  Submit income and expenses to H&S Treasurer.

FIELD DAY (JUNE)

CHAIRPERSON:  Organize games/activities including a schedule for the day for each class.  Order and distribute snacks.  Organize volunteers to assist with the games.  Submit expenses to H&S Treasurer.

SUPPORT/CLERICAL-1 COORDINATOR:  Provide guidance and support to the below committees.  Update committee binders, as needed.  Provide updates to H&S VP for Board Meetings, as requested.

 

WEDNESDAY COMMUNICATION ENVELOPE (4 TEAMS)-once a month on Wednesday morning
1-2 hours

CHAIRPERSON:  Coordinate volunteer schedule.  Send out weekly reminders to volunteers.  Set-up working area and assist every Wednesday filling envelopes.  Interact with school office to ensure resolution of any correspondence distribution issues.

COMMITTEE:  Assist chairperson by filling envelopes with weekly correspondence on Wednesday mornings during school hours.

 

AUGUST ENVELOPES-once in late August

CHAIRPERSON:  Coordinate volunteer schedule.  Fill envelopes with Back to School correspondence.

SCHOOL DIRECTORY-once a year

CHAIRPERSON:  Send out a flyer requesting advertisers.  Coordinate cover art contest with Art teacher.  Update current telephone directory.  Create additional directory by classroom.  Assemble/bind the copies.

COMMITTEE:  Assist chairperson as needed, with collection of advertising information, cover art contest, proof-reading, assembly, and binding.

 

SCHOOL WEBSITE-ongoing

CHAIRPERSON:  Executive Board Position: 
            Maintain

                        COMMITTEE:  Attend school events and
                        provide ideas, updates, pictures etc. to
                        chairperson.

 

PUBLIC RELATIONS/PUBLICITY-ongoing

CHAIRPERSON:  Provide information to local papers to publicize the school.  Contact local reporters and request that they report on school event(s) for publicity.

                        COMMITTEE:  Attend school events and
                        provide ideas, updates/pictures etc. to
                        chairperson.

 

HAMMER & SAW-ongoing

CHAIRPERSON:  Provide experienced
            advice and assistance for construction

CCS SCHOOL SPIRIT ITEMS-ongoing

CHAIRPERSON:  Sell school spirit items throughout the school year.  Organize sales and set-up items at events in order to further promote school spirit items.  Send out flyers to promote the purchase of school spirit items.

CHAIRPERSON:  Send out flyers to request gently used uniforms for exchange.  Sort and display clothing during uniform exchange events.

EDUCATIONAL ENRICHMENT-1 COORDINATOR:  Provide guidance and support to the below committees.  Update committee binders, as needed.  Provide updates to H&S VP for Board Meetings, as requested.

 

BOOK FAIRS-FALL & SPRING

CHAIRPERSON:  Schedule book fair(s) with vendor.  Organize evening social, which may include ordering and selling a small snack.  Send out flyers to advertise the event.  Create a schedule for the volunteers.  At least two days prior to the event, request a cashbox from the H&S Assistant Treasurer.  Submit income and expenses to H&S Treasurer.  Maintain spending account balance.  Distribute books to classrooms and library. 

COMMITTEE:  Attend planning meeting 3-4 wks prior to event to assist chairperson with decorations, family events, volunteers, etc.  Assist chairperson as needed during the event.  Assist with set-up, helping children select books, collecting money, re-stocking, and clean-up.

 

BOOK SWAP-once-June

CHAIRPERSON:  Send out flyers to advertise the event.  Collect books from classrooms.  Organize books for the swap.  Assist children with book selection.

CHAIRPERSON:  Place food, drink, and chip orders for monthly Hot Dog Day.  Organize parent volunteers.  Cook and provide food to the students.  Submit income and expenses to H&S Treasurer.

MONEY COUNTERS FOR LUNCHES-once late
            September

CHAIRPERSON:  Collect pre-orders for the entire year up-front.  Tabulate food, drink, chips needed and for monthly Hot Dog Day.  Provide information to the Hot Dog Day Chairperson.  Provide money to H&S Treasurer for deposit.

                        COMMITTEE:  Sort lunch slips and count
                        the money.

 

DAILY PRETZELS-One morning, every other
            week,
8:45 to 9:45

CHAIRPERSON:  Contact vendor and set-up yearly order for pretzels.  Collect daily pretzel order and fill order.  Provide daily income to school office for deposit.

COMMITTEE:  Count money received from each classroom and fill the pretzel order.   Provide daily income to school office for deposit.

 

MAJOR FUNDRAISER-2 COORDINATORS: Provide guidance and support to the below committees.  Update committee binders, as needed.  Provide updates to H&S VP for Board Meetings.

 

PARENTS’ SOCIAL EVENT-once Spring

CHAIRPERSON:  Organize entertainment, decorations and food.  Supervise activity of each sub-committee.  Send out flyers advertising the event.  Organize parent volunteers.  At least two days prior to the event, request a cashbox from the H&S Assistant Treasurer. Submit income and expenses to H&S Treasurer.

COMMITTEES: Assist chairperson, as needed, during the event.  Serve as a point-person or provide assistance with one of the sub-committees:  Food, Beverage, Auction, Neighborhood Baskets, Program Booklet, Decorating, and Class Gifts.
